Subject: Exciting Changes for Your Email Service and SoldierNet
 

Dear Valued SoldierNet Customer,

We're contacting you to let you know about substantial improvements in your SoldierNet email services that are coming in the very near future, and about some easy steps we'll be asking you to take. We'll be launching a new website, upgrading our services with greatly enhanced security features, and introducing a new company identity, as SoldierNet becomes Email Command. A few weeks from now, we'll be asking you to complete a simple procedure to help us move your email services to our new location. The procedure will be quick, and the improvements to your services will be well worth the time. Here are some details:

Why the new website? To give all of our customers, both new and continuing, a better online experience. You'll find technical support and product information much easier to find, and the whole site easier to navigate and more pleasant to use.

Why the new name? We think our new identity, Email Command, will better represent what we do: provide reliable, efficient email services to the armed forces community, including active service members and their families, veterans, reservists and anyone wishing to honor the men and women who have chosen military service to their country as a way of life.

In fact, we'll be reinforcing this commitment by offering a much wider selection of email domain names, including IraqWarVeteran.com, ArmyMom.com, USMarinesRetired.com, PatriotFirst.com and many others.

How will my services improve? We'll be adding powerful -- and crucial -- virus protection and anti-spam filters for all of our customers. In addition, subscribers to our WebMail and ProMail services will enjoy greater email accessibility, with the ability to receive Email Command email through any standard email software, including Outlook, Outlook Express, Eudora and Netscape Mail. ProMail customers will even have wireless email capabilities.

How much more will these new services cost me? Nothing, for an entire year. While the price of our enhanced services will go up slightly (see below), we are pleased to offer our current SoldierNet customers a full year of Email Command services at our present prices. It's our thank you to all of you who were first on board with SoldierNet. So your services improve, and, for a full year, the price remains the same. Shortly after the new site launch, you'll receive an email message letting you know how to renew your services for another year at your current annual rate.

MailForward remains $9.95
WebMail will go from $14.00 to $19.95
ProMail will go from $26.00 to $29.95

Please note that these are annual prices. Even with our new features, you'll see that our yearly rates stack up favorably to many other services monthly fees. On a monthly basis our most feature rich service will cost only $2.50 per month at our new rates.

What do I have to do now? Right now, not a thing. This is your "hurry up and wait" message. We just wanted to alert you that these changes are coming and let you know what they'll mean to you. In a week or so you'll be receiving more information from us, including detailed instructions for moving your account to the new system.

In the meantime, we hope you'll take this opportunity to tell your service friends and colleagues, your family members -- indeed, anyone you know who would be proud to demonstrate support for our Armed Forces -- about the improved email services and enhanced security that Email Command will soon be offering at truly reasonable prices.

Subject: SoldierNet Email System Upgrade on Dec. 6th
 

Dear Valued SoldierNet Customer,

We're following up to let you know your email account will be upgraded next weekend (December 6th). We'll be launching the new website (EmailCommand.com) and upgrading your email service next Saturday night. Your email account may be unavailable for periods over the weekend while we make the necessary system changes. We apologize in advance for any inconvenience this may cause you.

On Friday, December 5th we will send you detailed instructions on the simple steps that you will need to perform to move your account to the new system. Please print a copy of these instructions so you will have them in hand when you move your account to the new system on Sunday, Dec. 7th. The procedure will be quick, and the improvements to your services will be well worth the time. Here are some more details:

When you can expect what.

Friday, Dec. 5th -- You will receive email with detailed instructions (print a copy)

Saturday, Dec. 6th -- Email system may be unavailable at times

Sunday, Dec. 7th -- New system will be available, you will need to follow the instructions you received and printed on Friday in order to activate your account on the new system.

Monday, Dec. 8th -- If you were out of town over the weekend and didn't move your account to the new system, no problem. Follow the instructions you printed from the email you received on Friday, Dec. 5th and your account will be configured on the new and upgraded system.

Subject: Instructions for Upgrading your SoldierNet email account
 
Dear SoldierNet customer,

As you know from our recent emails, SoldierNet.com is in the process of upgrading our service to you. We're also changing our name, from SoldierNet to Email Command (www.EmailCommand.com). If you did not receive our earlier emails, or if you would like to review the details of our new features and service enhancements, you may view a full explanation of the changes and the reasons behind them here:

As we mentioned in that first email, in order to implement our improved services, we'll need to make some technical adjustments, including moving (or "migrating") to a new web server and email server. We're now ready to complete this migration. Depending on the type of account you have with us, there may be a series of short procedures for you to follow to ensure that your services and stored email are moved to the new server quickly and completely.

Before we begin describing these procedures, we want to assure you that all of your stored email messages and settings will be safe, and that you will have access to both the SoldierNet and the Email Command systems for several weeks.

If you have any questions about our service upgrades or about the migration process outlined below, please contact us at support@soldiernet.com or phone at (650) 747-9672. We will be happy to assist you. Be sure to include your SoldierNet email address in your message and, if you are a ProMail customer, the name of your email client software. This will enable us to provide accurate information promptly.


Important note: To ensure that all of your stored information will be fully protected, please be sure to complete these procedures on or after December 7th and before December 20th. After December 20th email and address book contacts that have not been moved to the new server will be lost.

  • If you have a MailForward account, you won't have to do a thing. Your account will migrate automatically to the new server and you should experience no disruption of service.

  • If you have a WebMail or ProMail account, there are a few simple steps you'll have to take to help us move your account over to the new server. You'll find them outlined below. Please note that it is very important that you follow this procedure by December 20th to ensure that your service continues uninterrupted and that none of your stored messages are lost. To be on the safe side, please take a few moments on Sunday, December 7th, or as soon as possible thereafter, to complete the procedures outlined below.

If you're not sure whether you have a MailForward, WebMail or ProMail account, you'll find that information on your SoldierNet receipt (the email you received when you purchased your account). If you cannot find this receipt or are not sure what type of SoldierNet account you have, please contact us, at billing@soldiernet.com.


MailForward

Again, if you are a MailForward customer, you're all set. Your account will be migrated automatically, and you should experience no disruption of service. You can ensure your service has been moved successfully by sending a test message to your SoldierNet email address on or after Sunday, Dec 7th. If you receive that email successfully, you'll know all is well.

WebMail
If you have a WebMail account, you will have to complete a few short steps to prepare for the migration of your account:

Here's a brief overview. Detailed instructions are provided below.

1) preparing your stored email for migration;
2) initiating the migration by logging in to the new Email Command site;
3) separately transferring your contact list (only if you use our WebMail Contact List feature)
4) deleting your external mail accounts from the SoldierNet system and adding them to the EmailCommand.com system (only if you use our External Mail Collection feature)

It may sound complicated, but it's really quite simple and takes just a few minutes. Step-by-step instructions are outlined below.

ProMail
If you have a ProMail account, you'll have to complete the same quick procedures outlined for WebMail users. In addition, you'll have to change the settings in your email client software to access the new site. Step-by-step instructions are outlined below.


Here are your step-by-step migration instructions.These procedures should take just a few moments. Please remember that if you have questions or problems anywhere along the line, please contact us at support@soldiernet.com or phone at (650) 747-9672. We promise to respond promptly.

For WebMail

1) Preparing Your Stored Email for Migration:
When your account is moved to our new server, only the email messages saved in your inbox will be included in the migration. This means that in order to retain email messages stored in other folders, you will have to move them into your Inbox folder. Here's the easiest way to accomplish this:

a) Log in to your WebMail account.
b) Open any folder (other than your Inbox folder) that contains messages you wish to save.
c) Select the message(s) you want to move by clicking the checkbox to the left of the message(s) (or click "Select All" if appropriate).
d) Select "Inbox" from the drop-down list next to the "Move to" button.
e) Click "Move to." The messages you've selected will now move to your Inbox.
f) Repeat this process for each folder containing messages you wish to save.
g) Messages moved to your Inbox in this manner will be transferred with your account to our new server.
h) Simply ignore any messages you don't wish us to move to the new server. These messages will be permanently deleted two weeks after our migration is completed.

2) Preparing Your Contact List/Address Book for Migration
If you use the Address Book feature of WebMail, you will also have to manually export your address book/contact list. (If you do not use, or do not wish to save, your WebMail Address Book, simply skip this step and proceed to Step 3.) Here's how to move your address book:

a) Log in to your WebMail account
b) Select "Preferences" from the list of links on the left side of the screen.
c) From the “Preferences” page select the “Import / Export Addresses” link.
d) In the “Export Contacts” section of the “Import / Export Addresses” page, select “Netscape (LDIF)” from the drop down list next to "Select an export format."
e) Click the "Export Now" button. If you're given the option of opening or saving the file, click "Save."
f) You will be prompted to select a location on your hard drive to temporarily store the resulting export file. Be sure to choose a location on your computer that you can easily find when you are ready to import your contacts into the new EmailCommand.com WebMail application. Any location, such as "My Documents" or "Program Files," is fine, as long as you can remember it later. It's a good idea to make a note of the location you select.

3) Preparing Your External Email Accounts for the Migration
(If you are not using the External Mail Collection feature of your WebMail account, please skip this step and go directly to Step 4.)

If you are using the WebMail External Mail feature, which allows you to collect email from outside service providers through your SoldierNet/Email Command inbox, you will have to manually delete the settings from the SoldierNet server and re-enter them on the new server. Here's how to delete the settings from the SoldierNet server (instructions for re-entering them into the new servers are found below)

a) Log in to your WebMail account
b) Select "Preferences" from the list of links on the left side of the screen.
c) From the “Preferences” page select the “External Mail” link.
d) You will see a table including information about each of the outside email accounts you have linked to your SoldierNet account, including your user name, the external email address and your user preferences for each account.
e) Make a record of this information. Be sure to copy all information clearly and accurately, as you will need it to re-establish your accounts on our new server. You may find it easiest to simply print the screen.
f) Click on the "trash can" icon to the right of each account listing to delete the settings. Once you have deleted all settings, you will jump to a web page displaying a set of empty data entry fields (External Server, User Name, Password, etc.). Do not attempt to fill in these fields. When you see this page, it means you have deleted these settings successfully, and your work here is done.

4) Logging In to the New Site
The final step in the migration process is to log in to the new site and import your email, address book and, if necessary, external server configurations, into the new system.

Important Notes: You should not begin this step until you have completed all the steps listed above or until you have completed the “Preparing Your Inbox for Migration” step, above.

Here's how to transfer your email:

a) Go to our new URL, http://mymail.emailcommand.com
b) To log in to the site, you'll be asked for your email address and password. Note that this is different from our original site, where you were asked only for your username rather than your complete email address. So if your username were “tigerman”, and your email domain were “usjarhead.com,” you would enter tigerman@usjarhead.com in the first field and your password in the second field.
c) The emails you've saved in your Inbox (Step 1) will be automatically migrated to your new account the first time you log in to the new site. It's that simple. This one-time process may take a moment. The length of the delay is, of course, determined by how much email you've saved to be migrated.

Here's how to import your contact list/address book:

a) Log in to your new account at http://mymail.emailcommand.com (see above)
b) Select the “Addresses” link on the left side of the page.
c) At the top of the "Address Book" page, select the “Import/Export” button.
d) On the “Import/Export” page, select the Netscape file format option in the “Import from” section
e) Click the "Browse" button. This will open a "Choose File" window giving you access to your hard drive.
f) Find the file containing your contacts/address book that you saved in Step 2, above, highlight the file, and click the "Open" button on the Find File window. You'll see the file name appear in the "Select File" window.
g) Click "Import." That's it. Your address book/contact list should now be moved to your new account. Click the "Addresses" link on the left of the page again. You should now see your address book and contacts. If you don't, please contact us and we'll walk you through the process.

Here's how to re-establish your outside email accounts (for users of our External Email Collection feature only).

a) Log in to your new account at http://mymail.emailcommand.com (see above)
b) Select the "Account Options" link on the left side of the page.
c) On the "Account Options" page, scroll down and select "External POP Email."
d) Click on the "New Account" button at the upper right hand side of the screen.
e) A pop-up screen will appear, asking your for the setting information for your outside email account. Fill in the data fields with the information you copied before you deleted this accounts from the old SoldierNet site (please see Step 3, above), and click "Save Account."
f) Repeat this process for each outside email account you wish to connect to your Email Command inbox.
Please note: the POP User Password requested in the pop-up box is the password you established with the email provider who furnishes the service. So, for example, if you are connecting an SBC email account, you must enter your SBC email password. If you don't know or can't remember this password, you must contact that email provider. Email Command is unable to access or store passwords for email accounts held with outside providers.

For ProMail
Please follow all the procedures described above for WebMail customers. In order to complete the migration of your email, you must login to the WebMail interface before you use your email client software the first time.

The only additional procedure you'll have to follow will be to change the settings in your email client software to point to the new Email Command services. Those settings should read as follows for your new Email Command account (again, please do not attempt to make these changes until you have completed all appropriate steps described above):

User Name: You should now use your full email address for your account name or user name; such as, jimbob@usjarhead.com.

Outgoing (SMTP) Server: smtp.emailsrvr.com
(be sure that the “my server requires authentication” box is checked)

IMAP server connection: imap.emailsrvr.com
or
POP3 server connection: pop.emailsrvr.com

Important note: For each account you should set either an IMAP server or a POP3 server. Not both. You can find details about this process on our new website by going to our new FAQ page (http://www.EmailCommand.com/faqs.htm) and clicking on "Technical FAQs"


Test your new settings
That's it! Once you've completed these steps, test the system by sending yourself an email, or having someone else send one, to your new Email Command email address.
